Am I eligible?
You are eligible to register for a cabin if you have a ticket secured and either 1) have a medical need requiring accommodation that is only available in a cabin/lodging facility; 2) are a Coordinator or Key Volunteer at the campout; and/or 3) will be working one or more shifts at the event.
Yes, we know some years the staff sheet is late going up. Please be honest. The campout works best when everyone helps create the event, so please honor those working a shift by not registering for a cabin if you don't intend to work.
When can I register?
The registration page will opens May 20. You'll need to enter your name, email address, and phone number, create a password, and verify your selected registration tier - i.e, your role at the campout or the accommodations needed for medical priority. This registration step does not guarantee you a room or a bed; it just allows us to validate your eligibility before we open reservations to each tier.
Do I need to register again if I registered last year?
Yes! You must register again this year, even if you signed up for an account last year. Your account does not roll over and your role at the FnF campout may have changed.
What are the different tiers for the reservation system?
Tier 1) Medical - People with a reasonable medical need for accommodation. This includes medical conditions, injuries, disabilities, and late-term pregnant/post-partum parents. This tier is decided on a case-by-case basis.
Tier 2) Coordinators and Key Volunteers - Planners with a significant role this year. A good rule of thumb is if you are working more than 20 hours before, during, or after the campout.
Tier 3) General Volunteer - Anyone else who has tickets to the event and will be working one or more volunteer shifts
Can I reserve a bed/room if I haven't registered?
No. You must register and get placed in a tier before you can reserve your lodging.
When does lodging registration open?
The tier you have been placed in determines when you can register.
Tier 1 - Thursday, May 23 @ 7:30pm, PDT
Tier 2 - Friday, May 24 @ 7:30pm, PDT
Tier 3 - Saturay, May 25 @ 7:30pm, PDT
Once your tier is open, you will be able to sign in using the same email address and password you registered with and reserve an available room. Room reservations are first-come-first-serve within each tier.
When do you need payment?
If we have not received your payment by May 31, we will send you a notification that your payment is late. At that time, only PayPal payments will be accepted. In the event that we still have not received payment, we will cancel your room reservation, and notify people on our waitlist. SEND YOUR PAYMENT ON TIME.
I forgot to pay for my cabin/room when I reserved it. How can I pay after the fact?
You can pay after reserving your room in two ways:
1. Pay via Paypal: Send $ to paypal@cfaea.org. Be sure to select "Send money to friends or family" and (VERY IMPORTANT) write "CABIN: [your cabin/room number]" in the comments. If you do not indicate CABIN somewhere in the comments we may not know you have paid!
2. Pay via check: Make your payment to CFAEA by check and send it to the following address:

How do I find my lodging when I arrive at Saratoga Springs?
We will have a map with the cabin assignments at the Gate when you arrive on site. Each cabin will also have a list of the names of the people who reserved each room posted in the cabin. Beds in the dorm-style rooms are first come, first serve.
If you are Early Arrival, please take the time to consult the cabin map before you head up, in case you arrive at the Gate before the map does.
I am coming early to the campout and/or staying late - can I use my cabin during this time?
Yes. You will have access to the cabin for the full time that you are at the campout. Reserving and paying for lodging guarantees your lodging is held for you from Early Arrival all the way through Late Departure. Please note that you will need to arrange or pay for EA/LD separately; reserving lodging does not automatically get you EA/LD!
NO! You will be responsible for removing ALL trash from your cabin/room. The camp out is a pack in/pack out event and this applies to the cabins. Trash cans and recycle bins are provided as a convenience to help you collect your garbage so that you can take it home with you.
I didn't receive a confirmation email. Am I registered/reserved/confirmed paid?
Check your SPAM folder and email us at cabins@fnf.org for confirmation.
If I am staying in a cabin/dorm room, do I need to bring linens?
No! And please don't bring your own blankets, unless you have a medical need.
Guests MAY bring their own pillows, as long as they get an SS encasement from the Main Lodge with a $10 refundable deposit.
Saratoga Springs has this policy to prevent bedbugs - they provide all your linens, and they ask that you respect their efforts to stop this pest from arriving at SS by not bringing bedding.
I paid for a bed/room. Can I turn it over to my friend when I leave?
No.
Why not? First, it's a public health problem and Saratoga Springs has asked us not to. If you move into a room that has not been cleaned, and if you were previously camping outside, you are bringing in some of the outdoors with you: dirt, dust, and bugs that will be far harder to get rid of for the next guests. And if SS staff have managed to clean the room, you are creating double the work for them as they have to clean it again. Even if the person who reserved the room invites you to move in, please don't do it!
Second, it hurts the people who reserved the room if you don't treat the room with the same care that they did. The original reservation name will be help responsible for any damage or excessive dirtiness. Please honor the system.
What sort of detail or proof do you need of my medical need?
We respect your privacy and ask that you provide only what is needed to determine your tier.
The medical tier is for those with a reasonable medical need requiring accommodation. This includes medical conditions, injuries, disabilities, and late-term pregnant/post-partum parents.
Please let us know when you pre-register if your need requires specific amenities (e.g. AC for a heat-related condition, guaranteed fast access to restroom facilities, no stairs, wheelchair ramp) or a specific cabin/room/bed.
We may follow up with you for additional information within reason, which will be kept confidential. Access to this tier is decided on a case-by-case basis, at our discretion.
How do I see who is in my room/cabin?
During booking:
Dorm rooms that are not yet full will show a list of who is already registered in the room when you book. For cabins with multiple rooms, follow the steps for "after booking".

I need to keep my lodging private. How do I do this?
There is a feature to hide your name on the website. We refer everyone to the Code of Conduct, and trust that only those with a special need will choose to use this feature.
To hide your name, click on your name in the top right and select 'profile' from the dropdown. On your profile page, check the box labeled 'Please hide my name from my Friends & Family'.
Note that hiding your name on the website will not hide your name on the printouts that are posted in each cabin.
